Nest, and the undersigned Applicant(s)
hereby agree's to the following terms
and conditions of this Single Event Rental of the real property and
improvements
known as Robin’s Nest, located at 1610 Swope Rd, Bethel, Ohio,
as follows:

Note :
There is an additional
cost above the hall rental for any outdoors ceremonial chairs needed.
The cost is $1.50 rental per chair, If you elect to have a Ceremony
outside we would need
to know the exact amount of chairs needed within 30 days of your event.
We will set up & tear down for the said rental price,
As soon as you get your RSVP back let us know how many chairs you
would like to rent.
If weather is bad and chairs are not used you will be refunded this
amount.

Applicant hereby agrees to pay rent for the use of the premises of the
event described above in the
amount of $ _____________ ( Four hours For Rehearsal & Decorating
The Day Before Event,
Six hours For Ceremony & Reception The Day Of The Event,
Reasonable Clean-up By Robin's Nest Is Included In The Said Rental Price
Fifty percent (50%) of the rental amount shall be due and payable upon
execution of this agreement
The rental balance is due no later than thirty (30) days prior to your
event as scheduled above.
Limited on-site kitchen facilities are included in your rental In the
event the rental is not paid when due,
Robin’s Nest, may in its sole discretion deem the contract terminated
upon written notice to Applicant and
all prepaid rental deposits shall be forfeited by Applicant(s).
2. Usage.
Applicant(s) shall be entitled the use of the property and facility,
between the hours of ______ am / pm, date of: __________
and _______ am / pm on the date of: ______________ ,20______for the
event as described above and no other purpose unless approved in writing
by Robin’s Nest.
Time designated above includes Set-Up By Applicant(s) and Clean-up by
Robin's Nest Staff Will Start Cleaning At 11PM
With All Music Ending & Guest Departing
No
Exceptions On Exceeding Accommodation Limits
3. Damage Deposit.
Applicant shall pay a damage deposit in the amount of $ 300.00 no later
than thirty (30) days prior
to the scheduled event.
The damage deposit will be refunded by Robin’s Nest within (10)
days following the scheduled event if the premises are returned in the
same condition as existed prior to the event.
Any amount withheld from the damage deposit for damages will be summarized
in writing by Robin’s Nest and the actual or estimated cost for
repairs shall be deducted from the deposit
and the balance refunded to Applicant, the Applicant is liable and responsible
for the full repair or replacement cost if it exceeds deposit for any
and all damage by Applicant, their guest, invites, or attendees within
(10) days of presentation.
4. It is the sole expense and discretion for the Applicants to provide
liability Insurance for their event.
I the Applicant(s) will not hold Robin’s Nest responsible for
any liability arising out of Applicants use and occupancy of the premises
and all area appurtenant thereto.
5. Accidents and Indemnity by Applicant.
Applicant shall defend and indemnify Robin’s Nest and hold Robin’s
Nest harmless from any and all liability, damages, cost, or expenses,
including attorneys’ fees, arising from any act, omission,
or negligence of Applicant, or the officers, contractors, licenses,
agents, servants, employees, guest, invitees, or visitors of the Applicant
on or about the premises; or arising from any accident, injury or damage,
howsoever and by whosoever caused, to any person or property occurring
in or about the premises.
Robin’s Nest shall not be liable for any loss or damage to person(s)or
property sustained by Applicant, or other persons, caused by the building
or improvements, or any appurtenances thereto, being out of repair or
by the bursting or leakage of any water, gas, sewer, or steam pipe;
or any theft or vandalism; or by any other cause of whatever nature.
6. Impossibility of Performance.
Robin’s Nest shall be released of its obligations under this Agreement
in the event of Acts of God, including flooding, inability to obtain
labor and materials or reasonable substitutes for labor and material,
governmental restrictions, governmental regulations, governmental controls,
judicial orders, enemy or hostile governmental actions, civil commotions,
fire or other casualty, or other causes beyond the reasonable control
of Robin’s Nest
7. Usage
of Alcohol.
Beer or alcoholic beverages are permitted. Absolutely NO glass containers
are permitted.
All Beverages Must Be Obtained From Wedding Site !
( No Drinks Brought In From Off-Site. . . This Also Includes Guest )
Responsibility and appropriate use and consumption of alcohol at Applicants
event and liability for
any consequences arising from the consumption of alcohol shall be assumed
by Applicant(s)
and the party catering or serving.
Only the Applicant may supply alcohol for the event and MUST have a
licensed severer,
All Vendors
MUST Provide "Robin's Nest" With A Copy Of Their Licenses
Applicant must have a designated licensed server(s) present at all times
where alcohol is located.
Applicant ensures that there will be no under aged guest served.
Applicant is liable and responsible for conduct of all guest, invitee,
servants, and visitors.
It is the Applicants sole & full responsibility to make sure all
guest, invitees, visitors,
and servants that attend Applicant’s event be aware of all policy
Rules and contract of Robin’s Nest.
8. Cancellation Policy.
Applicant must notify Robin’s Nest, of a cancellation no later
than sixty (60) days prior to the scheduled event.
Upon timely notification of cancellation, Applicant shall receive a
refund of the initial rental deposit minus $200.00 for handling and
reserving space
Any notice of cancellation received less than sixty (60) days prior
to the scheduled event shall result in a forfeiture of Applicant’s
deposit.
9. Decorations.
All decorations must be free standing and removed after the event.
No decoration are allowed to be placed on walls,
No Tape, No Adhesives, No Pins or Tacks Allowed On Walls
You may use push pins etc. on free standing decorations only
Use of nails, staples and screws are prohibited.
Cover candles may be utilized provided all such candles are located
in the center of each table
and not on a Hall ledge. Use of rice is prohibited. / Rosebuds are permitted
indoors.
Birdseed is permitted Outdoors only. No glitter or stringers.
All tables must be covered with plastic lined table cloth.
10. Rehearsal.
All rehearsal times must be scheduled with Robin’s Nest
No rescheduling unless there is availability.
11.
Deliveries.
Scheduling of all deliveries is the Applicant responsibility .
Applicant must make arrangements to meet with individual vendors,
including florists, bakers or food suppliers at the premises.
Robin’s Nest will accept deliveries if prearranged with Applicant
for a mutually agreed upon fee(s).
The Applicant shall be responsible for the security of such deliveries
and belongings
for the full rental period.
All equipment, decorations and personal property must be removed by
end of rental period.
ABSOLUTELY NO GLASS CONTAINERS ! If catering in food, Must provide an
endorsed copy of Vendors food license
12. Music.
Music supplied by Applicant must be kept at a reasonable volume
at all times.
All music must be terminated no later than 11:00 p.m. unless preauthorized
by Robin’s Nest.
Smoke and Fog machines are prohibited. No profanity in music allowed.
D.J. equipment and all vendors equipment must be handled properly so
that no damage is done to facility or premises.
13. Clean-Up.
Reasonable Clean-up By Robin's Nest Is Included In The Said Rental Price
$ 125.00 per hour Charge will be deducted from your deposit if cleaning
is not reasonable.
Throughout the event Robin's Nest Staff will attend to garbage removal
And take measures for assuring
of proper clean-up closing
14. Personal Items.
Robin’s Nest is not responsible for lost or stolen personal belongings.
All personal belongings must be removed by Applicant upon termination
of event.
Robin’s Nest is not responsible for personal property left at
the premises after your event.
( This also applies to the Applicants contractors that they may have
hired )
15. No Smoking. Applicant(S) is solely responsible to assure
that all guest complies with
state regulations on smoking, any fines or penalties will be applicants
expense.
Smoking is expressly prohibited inside the hall. Smoking is allowed
outdoors only.
Please inform guest that they are to utilize the clay pots with sand,
when smoking.
All cigarette butts left on the ground must be removed by Applicants.
Disregarding of these rules will result in loss of deposit.
16. No Animals / Pets.
The presents of animals or pets on the premises is expressly prohibited.
17. Firearms. / Drugs.
Firearms of any kind are Strictly PROHIBITED. / NO DRUGS Allowed on
Property
18. Children MUST be supervised at ALL TIMES
19. Vehicles left on premises after the event must be retrieved by 9
a.m.
the morning after the event, or vehicle will be towed away at owners
expense.
20. Applicant is responsible for
arranging all rental including port-o-lets and tents.
Robin’s Nest will provide one (1) port-o-let for outdoor events.
All others needed will be $150.00 per unit, per event. 30 day notice
if more than one is needed.
It is the full responsibility of applicant(S) to obtain a permit at
their expense and comply with all
County requirements when using a rental tent,
The applicant(S) must provide Robin' Nest a copy of the approved permit
30 days prior to the event,
failure to provide approved permit will lead to No tent!
21. Fighting etc. will not be tolerated. On-Site manager (or owner)
will call officers if needed.
22 If weather is impassable, a new date may be scheduled, providing
the date you wish is available
23. Four Hours Rehearsal & Decorating is Included in the said rental
price
The Day Before Your Event
If Four hours are Exceeded, there will be a charge of $125.00 per hour
24. Fire Regulations.
Exit Doors MUST remain accessible and Un-Obstructed at ALL TIMES …
No Exceptions
Applicant is responsible for all items that are flammable.
It is solely the applicant(s) responsibility to assure that their guest
list doesn't exceed hall
occupancy maximum, failure to comply will result in state fine's &
penalties at applicant(s) expense.
25. Robin’s Nest makes no guarantee of the appearance of any given
property. ( We will give our best effort )
26. Check-Out .
The Applicant’s event must end as scheduled and premises vacated.
No one is allowed to enter facility once gates are closed.
You may contact Robin’s Nest the morning after the event by phone.
Should your event exceed it’s time limit, and extra charge of
$125. 00 per hour,
will be added to your invoice.
( Sorry, but we have to have our facility ready for the next event.
ALL receptions must end promptly at 11 PM
( This time is allowed for removal of personal property and decorations
)
27. Robin’s Nest , or a representative, may terminate upon “Just
Cause”,
any occupancy at any time with no refund of fees.
28. Please report any difficulties immediately.
29. The Upstairs Area Is For Bride / Groom And Wedding Party Only !
No Other Guest Are Permitted Upstairs !! No Exceptions
I the Applicant(s) have read
and understand the contract, rules and guidelines,
and agree to abide to all rules of this agreement, and further agree
to ensure
that any person or persons designated by Applicant
to supervise or be responsible
for the set-up /conduct / or take-downs of the Applicant’s
occupancy of
Robin’s Nest shall also read and understand the rules and
guidelines of
Robin’s Nest and shall abide by all rules.
INDEMNIFICATION / HOLD HARMLESS AGREEMENT
In consideration of the use
of the facilities and premises described in the proceeding agreement,
I / We, the below names,
do hereby agree to indemnify and hold harmless Robin’s Nest
and all their heirs and assignees there of, from any loss,
cost, or expense connection with any damages, injuries, or death
arising from any activity, event or function occurring in or about
Robin’s Nest and premises as a consequence of, or attendant
upon our tenancy.
